Once a week the #calendar Slack channel gets a summary of upcoming events and once a day there is a summary posted of that days events. In addition new events and changed events are also posted in the channel. The best way to remind yourself to check the calendar is to simply set up notifications on the #calendar Slack channel and read the days events there. ==== Schedule Early ==== Always add a calendar event as soon as a date and time and location for an event has been decided, so that everyone will have time to see the event. The event title should be as complete and informative as possible. Ideally the user does not have to open up the description. It should be possible for anyone to tell whether or not the event applies to them without asking. If it applies to a subset of a group, please list the people to whom it applies. If that is not possible, provide a link to a Slack message or something like that that provides the information. Remember that the reader may be a parent who is not familiar with our nomenclature, so try to be clear without using our jargon. We want to avoid surprises and last minute scrambling to get information. ==== Cancel Early ==== Always cancel an event as early as possible. Do not delete the event from the calendar, update the description by adding the text "CANCELLED-" to the front. If an event is cancelled less than 24 hours in advance post a message in the #announcements Slack channel to announce the cancellation. Include a link to the event in the message.
